Plans, billing and cancelling

What each plan includes, how to upgrade, switch or cancel, and exactly what happens to your data when you do.

Prices exclude VAT, which is added at checkout where it applies. "Unlimited" has a fair-use ceiling of 10,000 contacts per account, far beyond what a small business needs. The Free plan also has generous ceilings on notes, follow-ups and deals that an ordinary business will not reach.

Upgrade

Settings → Plan shows the buttons: Business or Team, monthly or yearly. You pay on a page run by Stripe. We never see or store your card details. When you come back, the plan updates within a few seconds.

Stripe sends your receipts and VAT invoices by email. Stripe is the seller of record for the sale, which is why its name appears on the receipt and your statement.

Reaching 25 contacts on the Free plan

Nothing is locked and nothing is lost. You can still see, edit, search and export everything. You just cannot add a 26th contact until you upgrade or delete some. A button to upgrade appears on the Contacts screen when you reach the limit.

Manage billing: card, invoices, switching and cancelling

Settings → Plan → Manage billing opens Stripe's customer portal, where you can:

  • update your card
  • download past invoices
  • Update plan: move between Business and Team, or between monthly and yearly. The difference is charged or credited for the rest of the period
  • Cancel

Only the account owner sees Manage billing.

Cancelling

Cancel at any time from Manage billing. Your plan runs to the end of the period you have paid for and then does not renew. We do not refund part-used periods, but if something has gone wrong, email support@sheetsmith.co.uk and we will put it right.

When a paid plan ends, for any reason:

  • the account returns to the Free plan
  • nothing is deleted. Contacts above 25 stay readable, editable and exportable; you cannot add more
  • team members keep their access; you cannot invite new ones

If a payment fails, Stripe retries for a while and emails you. Your plan continues during the retries. The account only returns to Free if the payment is never resolved. Settings shows a warning, with the link to update your card, as soon as a payment fails.

Price changes and closing down

We give at least 30 days' notice by email before any price change, and it applies from your next renewal, so you can cancel first. If we ever close the service, the terms promise at least 60 days' notice and a full export of your data. The full wording is in the Terms of Service.
